Admissions Staff Assistant


Position Description

The Staff Assistant's primary task is to process all incoming and outgoing mail for Admissions, including applications, references, transcripts, test scores and essays. Additional responsibilities include data entry, copies, creating forms, front desk reception, office organization, and assigning student staff data entry projects.

 

Duties and Responsibilities

  • Opens, date-stamps, and distributes mail for the office.
  • Coordinates and plans for all bulk mailings.
  • Ensures proper telephone coverage for the department.
  • Ensures proper office coverage to serve prospective students and families who come to the Admissions Office.
  • Purchases and maintains general office supplies.
  • Responsible for implementing and maintaining office procedures and records to support and facilitate the processes involved in student recruitment and admission into the University.
  • Assists in the development and supply of marketing, campaign scheduling, recruitment and promotional materials.
  • Maintains the prospective student records filing system including degree evaluations, files that are transferred to a different term, and cancelled files.
  • Manages the database of prospective students and contacts.
  • Ensures that the office has a neat, orderly, and clean appearance.
  • Coordinates campus visits.
  • Assists in planning and implementing enrollment management events such as campus visit days and student orientation.
  • Maintains contact with prospective students in written and oral forms, through the internet, correspondence and by making phone calls.
  • Conducts tours of the campus for prospective students and their families.
  • Manages the "Info Bethany" email account by answering questions for prospective students, redirecting questions to appropriate departments, or gathering information.
  • Schedules and administers tests to applicants as needed. 
  • Provides administrative support to Admissions Counselors as needed.
  • Assists Admissions calling team to ensure contact information is tracked and maintained.
  • Records and coordinates the processing of deposits from students.
  • Other related duties as assigned.
Qualifications
  • One year of experience in data entry.
  • Experience in administrative work and office management preferred.
  • Demonstrable skills in word processing, spreadsheet and data base management.
  • Excellent interpersonal communication skills, including telephone skills.

Salary / Compensation

This is a full-time position. Salary is commensurate with education and experience and includes a generous benefits package.
